Reflections Booth Terms & Conditions

Booth exhibitors must agree to all the following terms and conditions:

1. All exhibitors are subject to the General Rules and Regulations of the show

2. SWAA shall not be responsible in any way for any injury to any person, or for any loss of or damage to any property belonging to the Exhibitor. 

3. No portion of the property or premises covered by this agreement may be sublicensed or assigned by the Exhibitor unless agreed to by SWAA. 

4. The exhibitor shall be responsible for all damages to or loss of the PRAIRIELAND EXHIBITION PARK property (normal wear and tear excepted) which results from the granting of this license. 

5. SWAA reserves the right to inspect your booth at any time. 

6. SWAA reserves the right to cancel this agreement at any time, if in its opinion, the terms and conditions of this license are not being observed. 

7. SWAA shall not be liable or held responsible for any loss of potential income resulting from PRAIRIELAND EXHIBITION PARK unexpectedly being closed, as well as any damage to the exhibitor’s property caused by any and all employees of Prairieland Park. 

8. SWAA reserves the right to relocate or alter the space assigned to the exhibitor. 

9. INSURANCE: The exhibitor is responsible for the placement and cost of all insurance related to participation in Reflections of Nature. If you have public liability insurance check to ensure that it covers the Prairieland Exhibition property. 

10. The exhibitor is permitted to exhibit or sell only those products and services as approved by the SWAA. Subletting of space by the exhibitor is not permitted unless permission has been obtained from SWAA prior to the show. SWAA must approve any advertising or publicity. 

11. The exhibitor agrees to staff the booth at all times during the stated show hours (Saturday & Sunday). The exhibitor may also opt to staff the booth during the Gala Opening on Saturday evening. The booth must remain up until the show closes. 

12. The exhibitor is prohibited from conducting lottery or selling lottery and/or break open tickets unless permission has been obtained from SWAA prior to the show. 

13. No soliciting for any purpose will be permitted except from within the booth space licensed for that purpose. 

14. The exhibitor is not to mar or in any way deface the premises of Prairieland Exhibition. In particular, no nails, hooks, tacks, screws, gummed or adhesive stickers or balloons are to be utilised on or in any part of the premises. Use of these materials would be subject to reasonable removal/repair charges by Prairieland Park management. 

15. FIRE PREVENTION AND CONTROL: The exhibitor agrees to observe all fire regulations and maintain acceptable fire prevention practices as required by the provincial and civic authority having jurisdiction over these matters. Contact for inquiries: Fire Marshall, City of Saskatoon (306) 975-2520. 

16. Rental space fees will be refunded with the exception of a $25 administration fee if the cancellation is received by October 15. 

17. Cancellation of agreement by the exhibitor after October 15 or failure to appear on the dates shall result in the forfeiture of the rental space fee. 

18. LATE ARRIVALS who are not set up prior to show time and have not made alternate arrangements, may find their space occupied by a “stand by” exhibitor. 

19. The exhibitor agrees that no display materials may be dismantled or removed during the show unless permission is obtained from SWAA prior to the show. 

20. Exhibit must remain in place until the show is over. The exhibitor agrees to remove all material, supplies and equipment at that move-out time. 

 21. Undo noise or unseemly methods demonstration employed while operating concessions or exhibits will not be tolerated. Sound levels of radios, P.A. systems and all other sound amplification equipment must not interfere with other exhibitors or event visitors. The decision of what constitutes undue noise or unseemly methods shall rest with the Reflections of Nature chairperson, whose decision will be final. 

22. The exhibitor agrees to abide by all regulations deemed necessary prior to, during and after the show.
